Payables Aging
The Payables Aging report shows your open purchase orders grouped by supplier and bucketed by how long each one has been outstanding. It lets you see, at a glance, how much you owe each supplier and how long each balance has been outstanding β current, slightly aged, or seriously overdue.
Overview
This report answers a simple question: "How much do we owe, to whom, and for how long?" Each supplier appears once, with their outstanding balance split across five age bands. A grand-total footer sums every band across all suppliers. Because the report is calculated as of a date you choose, you can review your payables position for today or for any point in the past.
Because a purchase order does not carry a separate payment due date, the report ages each item from the purchase-order date (the date the PO was created). A note under the filter reminds you of this.
How to Open
Go to Treasury β Payables β Aging Report.
The report loads automatically showing open purchase orders as of today, grouped by supplier.
Page Layout
The page has two parts: a filter card at the top and the aging table below it.
Filter
- As of date β The date the report is calculated for. Pick a date to age purchase orders as they stood on that day. Leave it blank to use today.
- Apply β Recalculates the report for the chosen as-of date.
A footnote under the filter reads: Aged by purchase-order date β the purchase order tracks no separate due date.
Aging Table
One row per supplier, with the supplier name in the first column followed by the five age bands and a row total.

| Supplier | The supplier the purchase orders belong to. A dash is shown when a purchase order has no linked supplier. |
| Current | Outstanding balance that is not yet overdue (0 days outstanding). |
| 1β30 days | Outstanding balance that is 1 to 30 days outstanding. |
| 31β60 days | Outstanding balance that is 31 to 60 days outstanding. |
| 61β90 days | Outstanding balance that is 61 to 90 days outstanding. |
| 90+ days | Outstanding balance that is more than 90 days outstanding. |
| Total | The supplier's total outstanding balance across all bands. |
Grand Total
Below the table, a Grand Total line sums every band (Current, 1β30 days, 31β60 days, 61β90 days, 90+ days) and the overall total across all suppliers.
When there are no open purchase orders as of the selected date, the report shows the message "No open items as of this date."
Common Tasks
Reviewing Today's Payables
- Go to Treasury β Payables β Aging Report.
- Leave the As of date field blank (this uses today's date).
- Click Apply if you changed the date; otherwise the report loads automatically.
- Read each supplier's row to see how their outstanding balance is spread across the age bands.
Checking Payables As of a Past Date
- Go to Treasury β Payables β Aging Report.
- In As of date, pick the date you want the report calculated for.
- Click Apply.
- The table and grand total update to reflect open balances as of that date.
Spotting Long-Outstanding Balances
- Open the Aging Report.
- Scan the 61β90 days and 90+ days columns for any non-zero amounts.
- Suppliers with balances in these columns have the most aged payables β review them first to avoid strained supplier relationships.
Tips
- Aged by purchase-order date. Buckets are counted from the date the purchase order was created, not from a billing due date.
- Focus on the right-hand columns. Amounts in the 61β90 days and 90+ days bands represent the most aged β and usually the most urgent β balances.
- Use month-end dates. Running the report as of period-end makes it easy to reconcile with your accounting close, and the Grand Total gives you the combined payables already split by age band.
