Suppliers

The Suppliers page helps you manage information about your vendors and suppliers. Keep track of contact details, payment terms, and purchase history.

Overview

Maintain a database of all your suppliers with their contact information, terms, and performance history. This information is used when creating Purchase Orders.

Page Layout

  • Add Supplier - Create new supplier
  • Search - Find suppliers
  • Filter - Filter by category, status
  • Suppliers Table - List of all suppliers

Common Tasks

Adding a New Supplier

  1. Click + Add Supplier
  2. Fill in basic information:
    • Supplier Code - Unique code
    • Company Name - Full legal name
    • Trade Name - Operating name (if different)
  3. Add contact details:
    • Contact Person - Primary contact name
    • Phone - Contact number
    • Email - Email address
    • Address - Full address
  4. Set business terms:
    • Payment Terms - Net 30, Net 60, etc.
    • Credit Limit - Maximum credit allowed
    • Category - Type of supplier
  5. Click Save

Editing Supplier Information

  1. Find the supplier
  2. Click Edit
  3. Update information
  4. Click Save

Viewing Supplier Details

  1. Find the supplier
  2. Click the supplier name or View
  3. See full profile including:
    • Contact information
    • Payment terms
    • Purchase history
    • Performance metrics

Viewing Purchase History

  1. Open supplier details
  2. Click Purchase History tab
  3. View all POs for this supplier
  4. See order amounts and dates

Setting Supplier Inactive

  1. Find the supplier
  2. Click Edit
  3. Change status to Inactive
  4. Click Save
  5. Supplier won't appear in PO supplier list

Tips

  • Keep Updated - Maintain current contact information
  • Categorize Properly - Use categories for easy filtering
  • Track Performance - Monitor delivery and quality
  • Review Terms - Periodically review payment terms
  • Multiple Contacts - Add alternate contacts
