Inactive Users

Inactive Users shows all deactivated user accounts. View, reactivate, or permanently delete former user accounts.

Overview

When users are deactivated (e.g., employees leaving), they appear here. This allows you to maintain records while preventing system access.

Page Layout

  • Search - Find users
  • Filter - Filter by deactivation date, department
  • Inactive Users Table - List of deactivated accounts

Common Tasks

Viewing Inactive User

  1. Go to SettingsUsersInactive Users
  2. Find user in list
  3. Click to view profile

Reactivating a User

  1. Find user in inactive list
  2. Click Reactivate
  3. Confirm reactivation
  4. User can now log in again

Permanently Deleting a User

  1. Find user in list
  2. Click Delete
  3. Review warning about permanent deletion
  4. Confirm deletion

⚠️ Warning: Permanent deletion cannot be undone. Consider keeping records for compliance.

Searching Inactive Users

  1. Use search box
  2. Enter name, username, or email
  3. View matching results

Why Keep Inactive Users?

  • Audit Trail - Track who did what
  • Data Ownership - Maintain records of who created content
  • Compliance - Meet legal retention requirements
  • Potential Return - Easy to reactivate if user returns

When to Delete

Consider permanent deletion when:

  • Required by privacy regulations
  • User requests deletion
  • Long past retention period
  • No associated records needed

Tips

  • Regular Review - Periodically review inactive accounts
  • Document Reasons - Note why users were deactivated
  • Retention Policy - Follow company data retention rules
  • GDPR Compliance - Handle deletion requests properly
  • Backup First - Before permanent deletion

💡 Note: Inactive users cannot access the system but their historical data is preserved.
